Event Basics

Here are a few details you may want to know prior to registering for the conference or before coming to Mexico

  • Venue

    The conference will be held at the Cancun International Convention Center (ICC), with easy access from the conference hotels.

  • Language

    Sessions at the event are conducted mostly in English, excepting those of the Latin American and Caribbean track (LACAIS), which may be in Spanish or Portuguese,

  • Weather

    In August, Cancun has average highs of 85°F (32°C) and average lows of 72°F (21°C). Prior to traveling to Cancun for the meeting, you may wish to check the Cancun 10-day weather forecast.

  • Travel Discounts & Hotel Accomodations

    You will need to book a hotel room with any of the conference hotels. A negotiated rate has been established for the conference with each one. A link will be available in due time to book a room with the AIS room rate.

  • Cancun Highlights

    Cancun has become undoubtely one of the most important and popular touristic destinations worldwide. This is due not only because of its exquisite beaches and world-class infrastructure and services, but also for its proximity to great natural wonders and fascinating cultural heritage sites. Within a two-hour drive radius one can find archeological sites, amazing cenotes (natural openings to underwater river streams), coral reefs, natural reserves, and so many other sites.

  • Exchange Rate

    Help plan your trip by checking the current exchange rate of your currency to the Mexican Peso.

    The U.S. dollar is widely accepted in Cancun, but we recommend for you to change money in an established money exchange office to prevent unfavorable conversions.

  • Time

    Cancun is in a Time Zone equivalent to the Central Daylight Saving Time (CDT) or Eastern Standard Time  (EST) all year round, that is UTC/GMT -5h.

  • Electricity

    Voltage 110, frequency 60Hz. A/B plugs, same as in the United States.

  • Telephone

    Mexico country code: +52
    Cancun area code: (998)
    Mexican telephone numbers have 10 digits total, which includes the local area code.
    To make a local call, dial  the 7-digit number. From cell phones, include (998) first.
    To make a call from mobile to mobile within Mexico, dial (area code) and the number.
    To make a long distance call within Mexico to a Cancun fix line, dial (998) + the 7-digit number
    To make a call to a Mexican fix number from overseas, dial +52 (area code) and the number
    To make a call to a Mexico mobile phone from overseas dial +52 1 (area code) and number
    To make a call within Mexico to a cell phone in a different area code from a fix line, dial 045 (area code) and the number
    To make a call within Mexico to a cell phone in the same area code from a fix line, dial 044 (area code) and the number
    To call internationally from Cancun, dial 00 then the country code, then the area code, and then the number

  • Internet Access

    Most hotels offer high-speed Internet connections either in the room or on public areas within the hotel. Some access requires a fee. Ask the hotel staff if you are unsure.

  • Emergencies

    Dial  911 from most phones. Some hotel phones may require an additional number. Please see the phone or hotel for specific instructions.

Cultural Nuances

If you are not familiar with the United States culture you may want to become familiar with them prior to traveling.

  • Attire

    Attire at AIS Conferences is business casual. Since meeting room temperatures and personal comfort ranges may vary, a light sweater or jacket is recommended.

    We know we will be at the beach, but the use of shorts, sandals and tanktops should be reserved for leisure times.

  • Tipping

    Tipping in Mexico is customary. A 10% to 18% tip is usually expected in restaurants. For taxis it is completely up to you, and not necessary if you are not getting a satisfactory service. Tips at gas stations, and other minor services you receive, should vary between 10 to 20 pesos.

  • Etiquette

    Become familiar with Mexican etiquette for private, public, and business interactions.

Visas

To help you with your travel arrangements, below are links to important information regarding visa invitation letters, visas, and other resources.

  • Visa Invitation Letters

     Submit your conference registration and payment, then complete the Visa Letter Request Form. After completing both, please email the completed request form to the AIS Registrar at registrar@aisnet.org or fax to +1 (404) 240-0998.

    Please Note: Prior to receiving a Visa letter you will need to complete and pay for your conference registration. As Visa requests can take several weeks, registrants are strongly encouraged to apply for the Visa letter no later than two months prior to the conference.

  • Visa Information

    People from many nationalities are not required to have a visitors visa to enter Mexican territory for pleasure or business temporarily. However, many other do. The list of countries that require or not a visa is presented below. Keep in mind two things:

    • You will NOT need a Mexican visa if you are a permanent resident of Canada, the United States of America, the United Kingdom of Great Britain and Northern Ireland, any of the countries included in the Schengen Space, or in the Aliance of the Pacific (Chile, Colombia, and Peru)
    • You will NOT need a Mexican visa if you already have a valid visa for Canada, the United States of America, the United Kingdom of Great Britain and Northern Ireland, or any of the countries included in the Schengen Space.
    • If you have an APEC Business Traveller Card, aproved by Mexico.
